About the role
The Licensing Compliance Specialist serves as the primary point of contact for all claims related licensing activities, ensuring confidentiality and compliance with jurisdictional requirements and organizational standards. This role requires a high level of interpersonal skills, close collaboration with cross departmental personnel, exceptional attention to detail, technical acumen, and the ability to manage regulatory processes efficiently.
- Assist newly hired and unlicensed claims professionals with all aspects of required licensing, including the coordination of exam preparation and scheduling, facilitation of post examination applications and related activities, and providing education regarding state requirements.
- Partner with cross departmental stakeholders to coordinate the appointment and maintenance of corporate designees.
- Process license applications with state agencies timely and accurately; resolve all concerns throughout the process.
- Handle sensitive and confidential information with discretion and professionalism. Ensure adherence to company policies and applicable state and federal requirements while maintaining the integrity, security, and confidentiality of records and communications.
- Maintain up-to-date knowledge of jurisdictional licensing requirements and communicate regulatory changes and impacts to the appropriate parties as necessary.
- Administer a complete and accurate database of licenses, applications, renewals, and related documentation in accordance with retention policies and guidelines.
- Liaise with state agencies, carriers, and internal departments to resolve licensing inquiries or concerns; assist with audits, carrier requests, and regulatory reviews as needed.
- Distribute licensing scorecards, compliance reports, and trend analysis to leadership; assist with action planning for identified areas of noncompliance and follow up for progress development within the stated timeframes.
- Obtain and manage a company purchasing card and process financial transactions, reimbursement requests, and related licensing expenses in accordance with company policies. Provide leadership with accounting details, reports, and trend analysis as requested.
- Demonstrate exceptional attention to detail by accurately reviewing, processing, and maintaining records, reports, and documentation while ensuring a high level of quality and compliance.
- Ensure highest level of customer service across the organization and promote ongoing collaboration, teamwork, and engagement with all areas.
- Leverage critical thinking and decision-making skills to comply with best practices and ensure the overall effectiveness of the licensing program.
- Participate in special projects, compliance initiatives, and other tasks as assigned.
- Demonstrate commitment to Company's Code of Business Conduct and Ethics, and apply knowledge of compliance policies and procedures, standards, and laws applicable to job responsibilities in the performance of work.

- Bachelor’s degree in business administration, risk management, or related field and/or 3+ years of progressive work experience in a third party administration or insurance related industry required
- Experience in technical operations and commercial claims preferred
- Demonstrated knowledge and compliance with procedures, policies, state and federal laws, and insurance regulations required
- Ability to work in a matrixed environment, collaborate with others, and consider the needs of all affected areas to achieve results
- Excellent interpersonal skills and ability to effectively communicate both written and verbally to all levels within the company
- Clear and conceptual thinking ability with excellent judgment, troubleshooting, problem solving, analysis, and discretion
- Ability to establish goals and implement plans of action with a high degree of accuracy
- Aptitude to understand technology platforms, data analytics and metrics, and applicable claims related applications
- Proficiency in excel is required; experience with SharePoint a plus
