About the role

This position serves as Secretary to the Associate Director, Patient Care Service (ADPCS) at the Zablocki VA Health Care system. Performs administrative and secretarial functions in support of the ADPCS and his/her staff by performing general office work auxiliary to the work of the organization.

Duties include but not limited to: - Receives, screens, schedules, refers and contacts members of the agency/general public/government agencies. - Responds to administrative problems brought to the attention of the Associate Director, Patient Care Services (ADPCS) by members of the staff or management officials outside the agency. - Identifies priorities and handles commitments accordingly. - Maintains the calendar for the ADPCS, prioritizes appointments, conferences, speaking engagements, etc. - Composes letter and reports, reviews correspondence for accuracy and completeness and edits as necessary. - Responds to administrative problems. - Responsible for expediting project management and coordination. - Tracks suspense items and ensure timeliness of submission/reports. - Responsible for the establishment and maintenance of ADPCS files. - Schedules appointments, coordinates meetings, and/or schedules conferences. - Transcribes conference calls. - Creates, processes and maintains attendance and leave records. - Performs duties related to purchase obligated for designated Fund Control Points. -Other related duties Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
