About the role

Position Summary:

Waring Commercial is seeking a Sales Operations Specialist to support the growth, adoption, and day-to-day operation of the Waring B2B Dealer Portal. The portal is designed primarily for lower-volume dealers and provides a faster, easier, and more transparent way for customers to conduct business with Waring.

Through the portal, dealers can place orders more easily, receive real-time order confirmation, view product availability, access pre-populated account pricing, receive order and shipping updates, and review applicable pricing programs and promotions. As Waring expands its direct digital relationship with this large and important dealer segment, the Sales Operations Specialist will help ensure that customers receive a consistent, responsive, and professional experience.

The Sales Operations Specialist will serve as a key point of coordination between portal customers and Waring's internal teams. This individual will facilitate order activity, provide order and shipment updates, communicate promotions, receive and coordinate purchase-order changes, support the resolution of account issues, and follow up on past-due invoices. The role will also proactively help dealers understand and use portal capabilities so that more routine transactions can be completed accurately and efficiently through the digital channel.

Dealer satisfaction and portal utilization are central measures of success for this position. The successful candidate will build dealer confidence in the portal, increase repeat usage, remove barriers to adoption, and ensure that customers receive dependable communication and follow-through throughout the order lifecycle. This position requires more than transactional order support. It requires ownership of the dealer experience and a continuous focus on making the portal easier and more valuable for customers to use.

The ideal candidate has 3-5 years of experience supporting customers through a digital sales, eCommerce, order management, or B2B service environment. This person must be organized, responsive, comfortable working across multiple systems, and capable of balancing a high volume of customer interactions without losing attention to detail. The role reports to the Sr. Director of Business Operations and provides a potential development path into Strategic Account Management and broader sales responsibilities

Key Responsibilities:

B2B Portal Adoption & Utilization

Drive dealer adoption, repeat usage, and effective utilization of the Waring B2B Dealer Portal.

Support dealer onboarding, registration, training, and ongoing engagement with portal capabilities.

Help dealers understand how to use portal features, including ordering, product availability, account pricing, order confirmation, promotions, and tracking information.

Conduct proactive outreach to customers who may need help completing registration, placing orders, accessing pricing, or navigating portal functions.

Identify dealers with low, declining, or inconsistent usage and coordinate targeted follow-up to remove barriers and rebuild engagement.

Monitor dealer feedback and common usage challenges to identify opportunities to improve adoption, communication, and the overall digital experience.

Dealer Satisfaction & Customer Experience

Deliver a responsive, professional, and dependable experience for dealers conducting business through the portal.

Serve as a consistent point of coordination for customers requiring assistance with orders, account information, pricing, promotions, or general business questions.

Proactively communicate with dealers throughout the order lifecycle and ensure open requests receive timely follow-through.

Take ownership of customer issues, coordinate internal resolution, and maintain communication with the dealer through completion.

Build dealer confidence and satisfaction by providing accurate information, clear expectations, and reliable follow-up.

Capture dealer feedback and identify recurring friction points that may affect satisfaction, retention, or portal usage.

Portal Order Facilitation

Serve as a primary operational contact for dealers placing orders through the Waring B2B Dealer Portal.

Facilitate portal orders and monitor activity from initial placement through fulfillment.

Review order activity for incomplete information, exceptions, or issues requiring customer or internal follow-up.

Coordinate with internal teams to help ensure orders are processed accurately and efficiently.

Communicate order confirmations, product availability, backorders, shipment timing, tracking updates, delays, exceptions, and resolution plans as appropriate.

Support the continued transition of appropriate lower-volume dealer transactions into the portal.

Purchase Order & Order Change Coordination

Receive, review, and coordinate purchase orders and requested order changes from portal customers.

Work with dealers and internal partners to address incomplete, inaccurate, or conflicting purchase-order information.

Facilitate updates involving quantities, model numbers, shipping information, pricing questions, and other order-related details.

Maintain clear documentation of requested changes, decisions, approvals, and next steps.

Confirm that customers receive timely communication regarding the status and outcome of requested order updates.

Escalate time-sensitive or complex order issues to the appropriate stakeholder while continuing to coordinate follow-through.

Pricing, Programs & Promotional Communication

Communicate applicable pricing, promotions, programs, and portal-based offers to eligible dealers.

Help customers understand available opportunities and how to access them through the portal.

Support dealers that may no longer participate in a traditional buying-group program by communicating relevant pricing and promotional options available through the portal.

Coordinate with sales, marketing, finance, and business operations to ensure portal pricing and promotional communications are accurate and current.

Assist with dealer outreach related to product launches, seasonal initiatives, promotions, and other commercial programs.

Monitor participation and dealer questions to identify opportunities to improve program visibility and portal engagement.

Accounts Receivable Coordination

Support follow-up with dealers regarding past-due invoices and account issues that may affect order processing or account status.

Communicate professionally with customers regarding outstanding balances, required information, and appropriate next steps.

Connect dealers with Finance, Accounts Receivable, Customer Service, or other internal resources when specialized assistance is required.

Track open payment-related matters and maintain follow-through until ownership is transferred or the issue is resolved.

Help identify recurring account issues that create ordering delays or unnecessary customer friction.

Maintain appropriate discretion and professionalism when communicating about account and payment matters.

Operational Excellence & Performance Tracking

Track and report on portal adoption, repeat usage, dealer engagement, customer inquiries, service issues, and recurring operational challenges.

Use dealer feedback and operational data to identify trends affecting portal utilization and customer satisfaction.

Recommend practical improvements that increase dealer satisfaction, order accuracy, response speed, portal usage, and operational efficiency.

Help develop and maintain standard processes, customer communications, reference materials, and support resources for portal dealers.

Support testing, implementation, and communication related to new portal functionality and process changes.

Look beyond individual transactions to identify patterns, risks, and opportunities affecting the broader dealer population.

Cross-Functional Coordination

Work closely with the Sr. Director of Business Operations, Sales Operations, Customer Service, Finance, Accounts Receivable, IT, Marketing, Distribution, and sales leadership.

Serve as a communication bridge between portal dealers and internal stakeholders responsible for order processing, inventory, pricing, fulfillment, account status, and technology.

Ensure internal partners have the customer context, order information, ownership, and next steps required to resolve issues.

Communicate clearly when customer priorities, order requirements, or expected timelines change.

Escalate significant customer issues appropriately while maintaining visibility and accountability through resolution.

Professional Development & Sales Readiness

Develop a strong working knowledge of Waring's products, customers, dealer structure, pricing programs, order processes, and commercial priorities.

Build an understanding of how lower-volume dealers purchase, what influences their portal engagement, and where Waring can create additional value.

Learn alongside experienced sales and business operations leaders through exposure to customer needs, account activity, promotional programs, and commercial decision-making.

Demonstrate growing customer judgment, commercial awareness, and ownership in preparation for increased account responsibility over time.

Build the skills and business knowledge required to pursue future opportunities in Strategic Account Management, sales, sales operations, or commercial leadership.

Qualifications:

Bachelor's degree in business, sales, marketing, operations, supply chain, eCommerce, hospitality, or a related field preferred, or equivalent relevant experience.

3-5 years of experience in digital sales support, B2B eCommerce, customer success, order management, sales operations, inside sales support, customer service, or a related commercial function.

Strong customer-service orientation with the ability to communicate professionally and build credibility with business customers.

Experience coordinating customer orders, purchase orders, order changes, shipment updates, pricing questions, or account-related inquiries.

Strong organizational skills with the ability to manage a high volume of customers, orders, requests, deadlines, and changing priorities.

Exceptional attention to detail and the ability to maintain accuracy while working across multiple systems and customer interactions.

Proactive problem-solver who takes ownership, follows through, and is comfortable escalating issues when necessary.

Clear written and verbal communicator who can explain order, pricing, promotional, and portal-related information concisely.

Comfortable working with B2B eCommerce platforms, ERP systems, CRM tools, order management systems, and Microsoft Office applications.

Ability to coordinate effectively across Customer Service, Finance, Accounts Receivable, IT, Marketing, Sales Operations, Distribution, and sales leadership.
