About the role

Description

 Position Summary:

The Human Resources Recruitment Coordinator coordinates recruitment and selection administration, onboarding, employee offboarding, and authorized Paylocity transactions for a multi-site community health organization. Recruitment and timely onboarding are the primary priorities. The position also provides HR administrative support as assigned by the Director of Human Resources. The Coordinator protects confidential information, maintains accurate records, meets deadlines, and escalates sensitive or complex matters to the Director. Hiring, compensation, employee relations, accommodation, and separation decisions remain with authorized leaders.

Duties and Responsibilities:

  • Partner directly with the Manager/Director on authorized Paylocity employee data updates, status changes, HR reports, audit checks and routine troubleshooting.
  • Provide administrative support to the Director, Employee Relations Manager, Benefits Manager and Senior HR Coordinator, with priorities set by the Director.
  • Maintain personnel records, HR trackers, correspondence, calendars, meeting schedules, shared inbox routing and project follow-up.
  • Provide scheduling and approved documentation support for employee relations, leave, benefits, employee engagement and staff development; refer decisions and confidential escalations to HR Director.

Requirements

Recruitment and Selection:

  • Maintain approved requisitions, internal/external postings, applicant tracking, candidate communications and vacancy dashboards.
  • Coordinate application screening against established qualifications, phone screens, interview panels, interview scheduling and candidate follow-up; hiring managers retain selection responsibility.
  • Track Recommendation to Hire submissions, approved offers, reference checks, background checks, credentials and required pre-employment clearances.
  • Maintain fair, consistent documentation and records under Roots’ Recruitment and Selection Policy; escalate exceptions and compensation matters.
  • Prepare weekly vacancy, time-to-fill, candidate pipeline and hiring activity reports.

Onboarding and Offboarding:

  • Coordinate new employee orientation, employment documents, I-9 workflow, training tracking, equipment and system access requests, and new hire checklists.
  • Own administrative offboarding for resignations and involuntary separations: separation checklists, notices, equipment returns, access termination coordination, exit interview logistics and records.
  • Coordinate final-pay deadlines with Payroll and Director; do not independently approve separations, final pay or legal determinations.

Qualifications and Competencies:

  • Two or more years of HR, recruitment coordination or related administrative experience preferred; equivalent experience considered.
  • Experience with recruitment, onboarding, offboarding, employee records and applicant tracking; Paylocity preferred.
  • Microsoft Office proficiency, strong organizational and written communication skills, discretion, sound judgment, deadline management and service orientation.
  • Experience in healthcare, nonprofit or multi-site settings preferred.
  • Perform other duties as assigned that are consistent with the role and business needs.

Physical and Environmental Requirements:

  • Office-based computer, telephone, meetings and routine administrative work; occasional travel to Roots sites may be required.
