About the role

Position Summary

The Client Relations & Project Manager serves as the primary liaison between Red Apple Services (RAS), ABC Mechanical, and the Charter Schools USA network of schools. This role is responsible for managing communication between internal service teams and school-based customers, tracking operational and capital projects, supporting service delivery, and maintaining visibility into master asset data across the network.

This position blends client relations, project management, and operational coordination to ensure responsive service, clear communication, timely follow-through, and successful execution of key initiatives. The Client Relations & Project Manager acts as a central point of contact for school leaders and internal teams, helping drive alignment between customer needs, service delivery, maintenance planning, and capital improvement priorities.

 

Essential Duties and Responsibilities

Client Relations and Communication

  • Serve as the primary relationship manager and point of contact for Charter Schools USA schools regarding Red Apple Services and ABC Mechanical services, support, and project coordination.
  • Build and maintain strong working relationships with school leaders, regional leaders, vendors, and internal operational teams.
  • Ensure timely, professional, and solutions-oriented communication between schools, Red Apple Services, and ABC Mechanical.
  • Support issue escalation, service follow-up, and resolution to ensure strong customer service and operational continuity.
  • Identify trends, recurring concerns, and service opportunities across accounts and communicate recommendations to leadership.

Project Management and Coordination

  • Track cross-functional projects related to facilities operations, maintenance, service delivery, and school support.
  • Confirm project timelines, milestones, action plans, and status updates to ensure visibility and accountability.
  • Coordinate with internal teams, vendors, school leaders, and other stakeholders to move projects from planning through completion.
  • Monitor project progress, communicate risks, and help drive timely resolution of issues or delays.
  • Support planning, coordination, and tracking of capital projects, including repairs, replacements, upgrades, and facility improvement initiatives.

Capital Projects and Asset Tracking

  • Assist in organizing and tracking capital projects across the Charter Schools USA network in partnership with operations and leadership teams.
  • Maintain project documentation, schedules, updates, and reporting related to capital initiatives.
  • Maintain and oversee a master asset tracking system for facilities-related equipment and infrastructure across the network.
  • Ensure asset records are accurate, current, and useful for preventative maintenance planning, lifecycle forecasting, and capital replacement discussions.
  • Partner with facilities and operations teams to track asset condition, replacement schedules, and service history.

Reporting and Operational Support

  • Develop and maintain dashboards, trackers, and reporting tools related to account activity, open projects, capital initiatives, and asset status.
  • Provide regular updates to leadership regarding project progress, customer concerns, service trends, key risks, and operational priorities.
  • Support process improvement efforts that strengthen communication, service execution, project management, and customer experience.
  • Assist in creating and standardizing workflows, procedures, and accountability measures across service lines.

Cross-Functional Collaboration

  • Work closely with Red Apple Services, ABC Mechanical, school-based leaders, finance, facilities, and vendors to align priorities and execution.
  • Facilitate meetings, status check-ins, and follow-up actions to ensure alignment and timely completion of next steps.
  • Support special projects and other duties as assigned.

 

Supervisory Responsibilities

This position does not currently have direct supervisory responsibilities but is expected to lead through coordination, initiative ownership, and cross-functional influence.

 

Required Qualifications

  • Bachelor's degree in Business Administration, Operations, Project Management, Facilities Management, or a related field; or an equivalent combination of education and experience.
  • Minimum of 5--7 years of experience in project management, client relations, operations, facilities coordination, or a related field.
  • Demonstrated experience managing multiple stakeholders, timelines, and priorities simultaneously.
  • Strong written and verbal communication skills with the ability to build trust and credibility across departments and customer groups.
  • Strong organizational skills, attention to detail, and follow-through.
  • Experience with project tracking tools, spreadsheets, reporting tools, and status dashboards.
  • Ability to analyze operational information and translate it into clear action steps.
  • Valid driver's license and ability to travel to school sites as needed.

 

Preferred Qualifications

  • Experience supporting facilities, maintenance, mechanical/HVAC, construction, or capital improvement environments.
  • Experience working in K-12 education, multi-site operations, property/facilities management, or service-based organizations.
  • Experience with asset management systems, CMMS platforms, or work order systems.
  • Project Management certification (PMP, CAPM, or similar) preferred.
  • Experience in customer success, strategic account management, or enterprise service coordination preferred.

Working Conditions and Travel

  • This role may require travel to school sites and other operating locations as needed.
  • The position may involve a combination of office-based work, virtual meetings, and on-site visits.
  • The ability to manage multiple deadlines and respond to operational needs in a service-oriented environment is essential.
