Overview:
Wilmington Trust is seeking a Senior Administrative Assistant to join its Family Wealth Division, which serves the unique needs of Wilmington Trust’s largest and most complicated High Net Worth (HNW) and Ultra-High Net Worth (UHNW) clients. The candidate will report directly to the President of the Division. This role manages calendars, schedules meetings, coordinates travel arrangements, and prepares agendas and materials for internal and client-facing meetings. The Senior Administrative Assistant handles phone and email communications, routes inquiries, and maintains a professional, client-focused presence at all times. Day-to-day responsibilities include drafting and proofreading correspondence, creating basic reports and presentations, and assisting with expense tracking and invoice processing. The role also supports special projects, helps improve administrative processes, collaborates with colleagues across departments, and ensures compliance with internal policies and confidentiality standards.
Primary Responsibilities:
- Candidates should possess strong Administrative Assistance and Clerical Skills, including calendar management, document handling, and office organization.
- Candidates should possess polished Phone Etiquette and Communication skills, with the ability to interact professionally with clients, executives, and colleagues.
- Candidates should possess Executive Administrative Assistance capabilities, including support for senior leaders, meeting preparation, and coordination of complex schedules.
- Candidates should possess proficiency with common office software (e.g., Microsoft Outlook, Word, Excel, PowerPoint) and basic data entry and reporting skills.
- Candidates should possess strong attention to detail, time management, and the ability to prioritize multiple tasks in a fast-paced environment.
- Candidates should possess a high level of professionalism, discretion with confidential information, and a collaborative working style.
- Marketing experience/event planning experience is beneficial
Education and Experience Required:
- Candidates should have at least 4 years progressive secretarial/administrative support experience with demonstrated development of skills on-the-job
- Relevant experience as a senior or executive administrative assistant in financial services or a corporate environment is beneficial.
- An Associate or Bachelor’s degree in Business Administration or a related field, or equivalent work experience, is required.
