Receptionist/Administrative Support
About the role
The Berkshire District Attorney’s Office seeks to fill a full-time receptionist/administrative support position to join our team. Bilingual candidates encouraged to apply.
Responsibilities:
- Create a welcoming and positive first impression by maintaining a clean, organized, and professional reception area.
- Answer, screen, and route incoming calls; take accurate messages and respond to general inquiries in a courteous and professional manner.
- Greet and assist visitors, direct them to the appropriate individual or department, and ensure established security and visitor procedures are followed.
- Maintain and coordinate the meeting calendar for visitors, appointments, and scheduled meetings.
- Process incoming and outgoing mail, including FedEx and UPS packages, and receive and distribute incoming faxes.
- Perform a variety of general clerical and administrative duties, including data entry, case file management, victim/witness correspondence, scanning, photocopying, printing, mailing, and filing.
Qualifications Required:
- Demonstrate proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, as well as the office’s current case management system.
- Possess excellent verbal and written communication skills, with the ability to communicate effectively with individuals at all levels.
- Demonstrate strong organizational, time-management, and multitasking skills while managing multiple priorities and deadlines.
- Exercise discretion and maintain strict confidentiality when handling sensitive information and case-related records.
- Maintain a professional appearance, positive attitude, and courteous demeanor in all interactions.
- Complete all mandatory education and training requirements established by the State Ethics Commission.
- Become familiar with and comply with all applicable Office Personnel Policies, particularly those concerning confidentiality, sexual harassment, a drug-free workplace, and the appropriate use of information technology resources.
- Participate in training and professional development activities relevant to Office functions and responsibilities.
- Interact respectfully and professionally with members of the public, judicial and law enforcement personnel, and Office staff.
- Complete assigned work in a timely, accurate, thorough, and efficient manner.
Salary: $47,000 annually
The position reports to the Director of Administrative Services.
All full-time positions offer the Commonwealth’s benefit package that includes health, life, disability, dental/vision insurances, retirement plans, vacation, personal and sick leave. Payroll is bi-weekly and based on a 37.5-hour work week. All job offers are contingent upon the successful completion of a background check. All positions serve at the pleasure of the District Attorney.
