About the role

The Executive Assistant provides high-level, multi-executive administrative support to a group of senior leaders within Northwood Hospitality's home office. This role requires exceptional organizational agility, discretion, and the ability to manage competing priorities across multiple executives in a fast-paced, multi-property hospitality environment. The ideal candidate anticipates needs, exercises sound judgment on behalf of leadership, and serves as a trusted point of coordination between the executive team, property leadership, and external partners.

Key Responsibilities

  • Calendar & Meeting Management
    • Manage complex, frequently shifting calendars for five senior leaders, proactively resolving conflicts and prioritizing time based on business impact
    • Coordinate and prepare materials for leadership meetings, offsites, or ownership meetings, and property visits
    • Schedule and staff recurring cadence meetings, including agenda development and minute-taking
  • Travel & Logistics
    • Arrange domestic travel across the company's multi-state property portfolio, including flights, lodging, and ground transportation
    • Prepare detailed itineraries and manage last-minute changes with minimal disruption
  • Communication & Correspondence
    • Draft, proofread, and manage correspondence, presentations, and internal communications on behalf of supported executives
    • Serve as a liaison between the executive group and property-level leadership, corporate departments, and external stakeholders
    • Screen and prioritize emails, calls, and requests, exercising discretion on what requires executive attention
  • Administrative & Project Support
    • Prepare and format PowerPoint decks, Excel reports, and Word documents to a polished, professional standard
    • Track action items and deliverables across executive-led initiatives, following up to ensure deadlines are met
    • Support expense reporting, invoice processing, and budget tracking for the executive group
    • Assist with special projects, event planning (leadership offsites, town halls, recognition events), and cross-departmental initiatives as assigned
  • Confidentiality & Judgment
    • Handle sensitive company, personnel, and financial information with the highest level of discretion
    • Exercise independent judgment in representing executives' priorities and intent when they are unavailable
  • Qualifications
    • 2+ years of experience as an Executive Assistant, ideally supporting multiple senior executives simultaneously
    • Prior experience in hospitality, multi-unit/multi-property, or corporate home office environments strongly preferred
    • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word)
    • Exceptional written and verbal communication skills
    • Strong prioritization and time-management skills with proven ability to context-switch across multiple stakeholders
    • High degree of professionalism, discretion, and emotional intelligence
    • Bachelor's degree preferred, not required with equivalent experience
