About the role

The Purchasing & Inventory Coordinator is responsible for executing procurement and inventory support activities required to maintain uninterrupted mill operations. This position manages purchase order creation, vendor communications, RFQs, delivery tracking, inventory reporting, and purchasing administration while supporting cost control and inventory optimization initiatives.

SCOPE

Acts as the primary day-to-day coordinator between vendors, contractors, accounting personnel, maintenance, operations, and storeroom personnel. Responsible for timely procurement of materials, delivery management, vendor communication, and purchasing system accuracy.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Create and process purchase orders.
  • Enter and maintain purchase orders within SAP and iMaint.
  • Process MRO purchase requests.
  • Process miscellaneous purchasing requests.
  • Review rebuilt versus new equipment cost comparisons.
  • Obtain supplier quotations.
  • Prepare RFQs and bid packages.
  • Review vendor lead times and pricing.
  • Evaluate supplier quote competitiveness.
  • Communicate approved purchase orders to vendors.
  • Coordinate machine roll delivery schedules.
  • Track purchase order delivery performance.
  • Monitor open purchase orders.
  • Track overdue and past-due purchase orders.
  • Expedite delayed shipments.
  • Resolve delivery issues and supplier concerns.
  • Communicate with freight carriers and shipping companies.
  • Support budget management through purchasing controls.
  • Maintain vendor delivery records.
  • Assist with work order parts usage reviews.
  • Assist accounting with invoice discrepancies.
  • Coordinate food orders and special event purchasing.
  • Coordinate parts pickup activities.
  • Identify obsolete inventory opportunities.
  • Collect and maintain vendor onboarding documentation.
  • Assist with inventory analysis and purchasing reports.
  • Support spend analysis and procurement reporting.
  • Audit vendor-managed inventory programs.
  • Provide receiving support during staffing shortages.
  • Coordinate contractor orientation requirements.

EDUCATION AND EXPERIENCE

  • Associate or bachelor's degree preferred.
  • Three years purchasing, inventory, procurement, manufacturing, or supply chain experience preferred.
  • Manufacturing purchasing experience preferred.
  • SAP and iMaint experience preferred.

Note: This role requires the ability to work in a loud industrial environment, stand/walk for extended periods, and lift up to 50 lbs.
