About the role

Primary Purpose
Provides experienced administrative and logistical support to ensure smooth execution of community programs. Oversees complex coordination tasks, maintains detailed records, and ensures materials, schedules, and documentation meet established standards. Operates with moderate autonomy while following defined procedures.

Duties and Responsibilities
  • Coordinates multi‑step logistics for community events, including venue coordination and vendor arrangements.
  • Updates and maintains organized filing systems for community program documentation and volunteer records.
  • Prepares event materials and information packets that require assembling multiple approved components.
  • Monitors inventory of community outreach supplies and initiates replenishment requests.
  • Ensures all event logistics meet accessibility and safety guidelines established by the organization.
  • Provides on‑site coordination support for multi‑room or multi‑day events as assigned.
  • Ensures accurate compile‑and‑send of routine reports using standardized formats.
  • Supports internal teams by organizing schedules, documents, and reference materials for upcoming engagements.
  • Performs other duties as assigned.
Qualifications

Education
  • Required: High school diploma or equivalent.
Experience
  • Required: Typically requires 3 years of related experience.
Knowledge, Skills and Abilities
  • Required: Ability to analyze information and identify root causes of recurring issues.
  • Required: Ability to interpret policies and procedures in non-routine situations.
  • Required: Ability to work with limited supervision while meeting deadlines.
  • Required: Broad understanding of community relations support functions and workflows.
  • Required: Knowledge of stakeholder interaction protocols and documentation requirements.
