About the role

GBRS are currently looking for a Senior Administrator to work with our client in Aztec West. As a senior administrator your duties will be as follows: - formatting documents which will be received from the engineers and project managers, they are to format and QA check and then pass through to the document control team for uploading - Provide effective day-to-day administrative support to the Project Lead, Operations Manager, and wider delivery team, ensuring smooth business and office operations. - Successfully establish and maintain the site office setup, coordinating with the Project Manager and IT to ensure full operational readiness. - Act as a professional point of contact with clients and sub-contractor representatives, supporting clear communication and administrative coordination. - Maintain an accurate attendance register for all staff and ensure timely weekly submission in line with internal reporting requirements. - Support project teams with document scanning and management, including (but not limited to) goods received notes, daily briefings, and permit documentation. - Coordinate Senior Management team meetings and diaries, ensuring effective scheduling, preparation of meeting materials, and follow-up where required. - Provide consistent, high-quality administrative support to Senior Management, contributing to efficient decision-making and project delivery. 1. Document formatting and layout skills – able to structure complex technical documents, apply consistent styles, manage templates, headers/footers, tables, figures, and cross-references. 2. Document control competence – version control, naming conventions, metadata management, transmittals, and maintaining audit trails in line with project or client requirements. 3. Technical accuracy and attention to detail – able to proofread, check compliance with standards, ensure correct use of terminology, and identify inconsistencies or missing information. 4. Proficiency with document management systems – experienced in uploading, tracking, reviewing, and publishing documents within EDMS platforms (e.g., SharePoint or similar systems). 5. Strong organisational and coordination skills – able to manage multiple document workflows, chase inputs, coordinate reviews/approvals, and meet strict submission deadlines To be considered you must be proficient in Adobe , Word and Excel and other Microsoft packages. The hours for this role will be based on 36.5 across 4.5 days with a 1/2 day Friday The ideal candidate will be available and ready to start ASAP.
