We are working with a highly regarded London law firm to recruit a Facilities Assistant to join their business services team. This is an excellent opportunity for a facilities professional with experience in a professional services environment who takes pride in delivering a first-class workplace experience.
The Role
Reporting into the Facilities Manager, the Facilities Assistant will play a key role in ensuring the firm’s office environment is safe, efficient, well-maintained and welcoming for partners, staff and visitors.
This is a hands-on, highly varied role, suited to someone organised, proactive and confident working with internal stakeholders and external suppliers.
Key Responsibilities
- Coordinating and supervising planned maintenance works, ensuring all documentation and access arrangements are in place
- Managing facilities helpdesk tickets for building and equipment issues, liaising with suppliers and building management to ensure timely resolution
- Conducting regular health & safety walkabouts, logging issues and arranging remedial actions
- Maintaining excellent housekeeping standards in back-of-house and basement areas
- Preparing workspaces for new joiners, including desk setup, access passes and lockers
- Delivering new joiner inductions, including health & safety tours and manual handling training
- Producing monthly facilities KPIs and reports
- Supporting workplace projects, including space planning and hot-desking initiatives
- Assisting with ad hoc tasks as required by the Facilities Manager
About You
- Experience within a law firm environment
- Strong attention to detail and a high standard of accuracy
- Proven knowledge of health & safety requirements
- Trained Fire Marshal (or willing to train)
- Confident communicator with a strong internal client-service mindset
- Highly organised, able to prioritise and manage competing deadlines
- A positive, flexible “can-do” attitude and strong team ethic
- Good IT skills, including Microsoft Office
- DSE assessment training and document management experience beneficial
