Medical Recruitment Administration Officer 37.5 hours, Permanent.
NCIC NHS Foundation Trust are seeking a Medical Recruitment Officer to join our busy recruitment team.
Our ideal candidate will have excellent communication skills, experience working in a busy recruitment or administration team, an eye for detail, and the ability to multi‑task and prioritise workload effectively against tight deadlines.
A high degree of accuracy is required, with knowledge of HR processes and an understanding of equality and diversity advantageous. The role requires strong communication as you will liaise with staff at all levels, newly appointed recruits and potential candidates.
The role will predominantly handle the end‑to‑end transactional service for all medical and dental recruitment drives (from Foundation level to Consultant and Dentist). This includes coordinating interview panels for consultant recruitment, communicating with Royal College representatives and senior Trust members, and requesting and issuing Certificates of Sponsorship for overseas recruits who require a visa. You will also assist them with advice and support for a smooth transition to the UK.

Main duties of the job
The role requires working as part of a team and independently, liaising with Recruiting Managers to ensure successful candidates are processed efficiently and accurately.
You will support a proactive team responsible for administering the entire recruitment process, from advertising vacancies through to pre‑employment checks and issuing employment contracts.
Previous experience with NHS Jobs or Trac Recruitment, ESR, UKVI, or sponsor management is desirable but not essential; full training will be provided.
Responsibilities
- Coordinate end‑to‑end transactional service for medical and dental recruitment drives.

- Coordinate with Recruiting Managers to process successful candidates efficiently and accurately.
- Administer the recruitment process, including advertising vacancies, conducting pre‑employment checks, and issuing employment contracts.
- Maintain high accuracy and adherence to HR processes, equality and diversity principles.
Person Specification
Qualifications
- NVQ Level 3 in Administration or equivalent qualification or knowledge.
Knowledge
- Understanding of administrative processes and systems in a busy environment.
- Good working knowledge of MS Office Suite.
- Awareness of equality and diversity in recruitment.
- Knowledge of NHS Terms and Conditions of Service.
- Knowledge of right‑to‑work principles.
- Knowledge of ESR and NHS Jobs and how they support recruitment in the NHS.
- Recruitment processes.
- NHS Standards related to recruitment, e.g. pre‑employment checks.
- Knowledge of equal opportunities legislation relating to recruitment.

- Managing changing priorities in the working day.
- Working in a busy office environment.
- Experience using NHS Jobs/ESR.

Disclosure and Barring Service Check
The post requires a Disclosure and Barring Service (DBS) check. The cost will be met by the successful candidate through salary deduction: Standard check £28.00 (or £56.00 for an enhanced check) deducted over four months or as a one‑off payment.
