Narro Associates is an award-winning structural and civil engineering consultancy with a reputation for delivering innovative, practical and sustainable engineering solutions across a diverse range of sectors. We are seeking an Administrator to join our Business Support team in Edinburgh.
The Role
This role is to provide comprehensive administrative support to the business, ensuring the efficient operation of office, project, and business support functions within a structural and civil engineering consultancy.
The role supports Directors, Engineers, Technicians, and Project Teams through project administration, tender submissions, document control, client communications, and office administration.
Key Responsibilities
- Act as the first point of contact for visitors, clients, consultants, contractors, and suppliers.
- Manage incoming telephone calls and enquiries.
- Coordinate meeting rooms and hospitality arrangements.
- Manage correspondence, deliveries, and courier services.
- Create and maintain project records.
- Set up new projects and undertake projects conversions.
- Maintain fee tracking spreadsheets and reports.
- Maintain fee charts, project owner reports, and invoicing records.
- Drafting and issuing invoices.
- Utilise the Deltek Project Management system for these tasks.
- Support project delivery teams with administrative tasks.
- Manage project close-out and archiving procedures.
- Support CPD events, meetings, and training sessions.
- Booking travel and accommodation.
- Coordinate stationery, office supplies, and PPE records.
- Undertaking general office administration and ad hoc duties.
- There are other sections in the Business Support team that you will be required to support, e.g. IT, H&S, Competitions & Bids, etc.
Required Skills & Qualifications
- Previous administration experience in a professional office environment.
- Strong Microsoft Office skills.
- Excellent organisational and time management skills.
- Strong communication and customer service skills.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
