About the role

HR & Office Coordinator (Part-Time)

Location: Epsom

Hours: 21 hours per week

Working Days: Tuesday, Wednesday & Thursday

Working Hours: 8:00am - 4:30pm (flexible)

Salary: £25,000 -30,000 FTE


The Opportunity

We are recruiting for an experienced and proactive HR & Office Coordinator to join a busy and friendly organisation on a part-time basis. This is a varied role combining HR administration, office coordination, employee engagement, facilities management and health & safety support.

The successful candidate will be highly organised, approachable and capable of managing multiple priorities while maintaining exceptional attention to detail and confidentiality.


Key Responsibilities

Office & Administrative Support

  • Act as the first point of contact for visitors, ensuring a professional and welcoming reception.
  • Manage office communications and respond to queries from employees and managers.
  • Coordinate office facilities, supplies, stationery and refreshments.
  • Oversee office systems and administration platforms.
  • Arrange catering, hospitality and meeting requirements as required.
  • Ensure the office environment remains organised, safe and efficient.

Employee Engagement & Wellbeing

  • Support employee engagement initiatives and company-wide events.
  • Coordinate wellbeing communications and awareness campaigns.
  • Assist with charity events, social activities and employee recognition programmes.
  • Support onboarding activities and departmental induction training for new starters.

HR Administration

  • Maintain employee records, training trackers and organisational charts.
  • Provide administrative support to the HR function.
  • Handle confidential employee information with professionalism and discretion.
  • Assist with HR processes and record keeping.

Facilities, Compliance & Health & Safety

  • Coordinate building maintenance, servicing schedules and repairs.
  • Liaise with external suppliers and contractors.
  • Support health & safety compliance activities and administration.
  • Carry out weekly fire alarm testing and support evacuation procedures.
  • Deliver health & safety and fire safety induction training.
  • Conduct workplace risk assessments and support compliance requirements.


About You

To be successful in this role, you will have:

  • At least 1 years' experience in an office administration, facilities, HR administration or business support role.
  • Strong Microsoft Office skills and confidence learning new systems.
  • Excellent organisational skills with the ability to prioritise workloads effectively.
  • Exceptional attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Experience handling confidential information sensitively and professionally.
  • A proactive, flexible and positive approach to problem solving.
  • The ability to build strong working relationships across all levels of an organisation.
  • Knowledge of health & safety administration would be advantageous.
