Administrator - Vehicle Compliance
Location: Birmingham
Job Type: Temporary - ongoing
Pay Rate: £13 per hour
We are currently recruiting for a highly organised and detail-oriented Administrator to support a busy compliance function, with a strong focus on vehicle compliance and fleet administration. This role is ideal for someone who can manage high volumes of data, coordinate schedules, and ensure strict adherence to regulatory standards.
Key Responsibilities
Managing vehicle compliance processes, ensuring all records meet company policies and regulatory requirements
Booking and scheduling MOTs, servicing, and repairs for fleet vehicles
Proactively contacting drivers to arrange appointments and ensure attendance
Updating and maintaining around 250+ compliance documents and records with high accuracy
Monitoring compliance deadlines and ensuring all vehicles remain road legal and audit-ready
Maintaining accurate and up-to-date records in line with GDPR and data protection standards
Supporting internal audits and compliance checks by ensuring documentation is complete and accessible
Handling sensitive information with a high level of confidentiality and professionalism
Updating internal systems to ensure data integrity and accuracy at all times
Identifying and escalating any compliance risks or discrepancies
Assisting with onboarding processes relating to vehicle documentation and compliance requirements
Ensuring all documentation is correctly stored, tracked, and easily retrievable
About You
Minimum 2 years’ administrative experience, ideally within a compliance or fleet environment
Experience coordinating bookings (e.g., MOTs, servicing, or appointments) is highly desirable
Confident communicating with drivers and stakeholders over the phone and via email
Strong attention to detail with the ability to manage high-volume data updates
Good understanding of compliance processes and the importance of accuracy
Proficient in Microsoft Office (Word, Excel, Outlook)
Ability to work in a fast-paced environment and prioritise tasks effectively
