Your new role As Office Administrator, you will play a key role in supporting the day-to-day operations of a fast-paced office.
Acting as a first point of contact for clients and customers, you will provide high levels of customer service while ensuring all administrative processes are completed accurately and duties will include: Managing incoming telephone and email enquiries and directing requests appropriately.
Scheduling viewings, appointments and valuations.
Preparing client documentation and ensuring compliance paperwork is completed and maintained.
Producing professional marketing materials, brochures, letters and schedules.
Liaising with internal teams regarding marketing requirements and listings.
Coordinating property photography and maintaining accurate electronic records.
Updating office displays and marketing materials.
Processing invoices, payments, account reconciliations and refunds.
Supporting financial administration, including petty cash management and payment processing.
Assisting with monthly reporting and liaising with finance colleagues regarding property-related charges.
Preparing documentation and supporting colleagues for viewings and appointments.
Maintaining accurate records across internal systems and ensuring information is updated promptly.
Providing general administrative support to ensure the smooth running of the office.
What you'll need to succeed To be considered for this opportunity, you will have: A minimum of 2 years' experience in a customer-facing administration position.
Excellent organisational skills with the ability to manage multiple tasks and priorities.
Strong communication and interpersonal skills with a professional and friendly approach.
High levels of accuracy and attention to detail.
Proficiency in Microsoft Office applications, including Word, Excel and Outlook.
The ability to work independently and effectively within a busy office environment.
Experience producing professional documentation and maintaining accurate records.
A proactive and flexible attitude with a commitment to delivering excellent customer service.
Previous experience within property, estate agency, professional services or a similar fast-paced environment would be advantageous but is not essential.
