My client is seeking an organised and proactive Administration Assistant to support a busy Pre-Delivery Inspection (PDI) Workshop within a fast-paced operations environment.
The role is responsible for ensuring all administration relating to the preparation, processing, and delivery of new machinery is completed accurately and on time.
You will work closely with internal teams, customers, and transport and service providers to help ensure smooth workshop operations and high levels of customer service.
Key Responsibilities
* Process and manage documentation for machinery deliveries
* Create and maintain workshop jobs using Sage 200 or similar systems
* Keep all job records, stock information, and machine data accurate and up to date
* Order and track parts required for workshop activity
* Support warranty administration and returns processes
* Assist with stock control of attachments, buckets, and related equipment
* Carry out stock checks and update inventory records
* Coordinate machine deliveries and transport administration
* Handle inbound calls and emails in a professional and timely manner
* Support general administration including filing, scanning, and data entry
* Liaise with internal departments and external suppliers to support operations
Key Skills & Experience
* Previous experience in administration, customer service, or office support
* Strong communication and organisational skills
* Ability to manage a high-volume workload and multiple priorities
* High attention to detail and accuracy
* Confident using Microsoft Office (Word, Excel, Outlook)
* Experience with Sage 200 or similar ERP systems desirable
* Team player with a proactive and flexible approach
Details
* Location: Portsmouth
* Contract: 12-month maternity cover
* Salary: £25,000 – £27,000
* Full-time: Monday to Friday (40 hours per week)
