We are currently recruiting for a First Point of Contact Administrator to join a busy property management team based in Shrewsbury.
This is an excellent opportunity for someone with strong customer service, administration and communication skills who is looking to develop their career within the property sector. Full training and ongoing support will be provided.
The Role
As the first point of contact, you will play an important role in providing a professional and efficient service to clients, customers, contractors and leaseholders.
You will be responsible for handling incoming calls and emails, dealing with routine enquiries and ensuring more complex queries are directed to the appropriate Property Manager or department.
Key Responsibilities
* Answer incoming telephone calls and emails, providing a professional and helpful first point of contact.
* Handle routine client and customer enquiries and accurately triage more complex queries.
* Direct calls and correspondence to the appropriate Property Manager or internal department.
* Prepare and issue general correspondence to clients and leaseholders.
* Assist Property Managers and Department Heads with client, contractor and customer communications.
* Upload and maintain documentation across internal systems.
* Manage appointments and oversee the Shrewsbury office diary.
* Liaise with internal teams to obtain and provide information relating to property portfolios.
* Attend internal meetings where required.
* Ensure all work is carried out in line with relevant industry guidelines and best practice.
* Complete mandatory training and participate in additional training where appropriate.
* Maintain high standards of customer service and ensure customers are treated fairly.
* Keep up to date with relevant legislation and industry developments.
* Work collaboratively as part of a wider property management team.
About You
We are looking for someone who is:
* Customer-focused with a professional and friendly approach.
* Confident communicating by telephone, email and in person.
* Highly organised with good attention to detail.
* Comfortable managing multiple enquiries and prioritising workload.
* IT literate and confident using internal systems.
* A strong team player who is willing to learn and develop.
* Reliable, punctual and professional.
* Previous experience in administration, customer service, property or a similar environment would be beneficial, although not essential.
