The aim of this role is to direct and control the operational service of the administration function, to ensure that it provides all appropriate administration service to the homes.
You will support and supervise the service's administration needs, including compliance, providing a secretarial service to designated managers and departments, coordinating the functioning and staffing of all administration areas including secretarial, CPA, Resourcing, Human Resources, Finance, Procurement, Complaints and Visitor Liaison. Working alongside senior staff members you will maintain personnel files and produce audits and other ad hoc reports.

As an Administrator/PA you will:
- Undertake tasks requested that are commensurate with the post holder’s level of responsibility
- Comply with the guidelines laid down regarding confidentiality, disclosure of information and Data Protection. To always maintain confidentiality, particularly with information relating to Residents, staff, and Care Homes business
- Maintain mandatory and professional development requirements
- To attend and minute meetings relevant to the department, and internal / external training events as and when required
- Work closely with internal and external business partners to ensure smooth delivery of support services to the Community Houses
- Accurate diary management and diary management support to the Community Houses manager
- To take personal responsibility for ensuring the work practices and the environment meet the requirements of the Health and Safety at Work legislation and report all deficits to management
- To provide cover for colleagues within the department when they are absent and/or on annual leave
- To assist with enquiries from central and regional management and provide relevant information
- Be able to use an assortment of computer packages including Microsoft Office and CAREnotes
- Be able to manage service user finance and other finance responsibilities, including petty cash and purchase orders
- Establish and maintain a high standard of office practices and procedures including document control
- Ensure that all staff have a full understanding of any administration department’s directives
- To collect the relevant information required for your role, this may include you visiting the Care Home areas to source this information.
- Undertake any other reasonable requests as made by your Line Manager
To be successful in this role, you will have:
- Previous experience in an administrative role
- Able to prioritise and work to deadlines
- Able to work to your own initiative
- Be IT literate and quick to learn new systems and processes
- Verbal and written communication skills
- A true passion to work in mental health
- Strong attention to detail
- A positive, can-do attitude
- A willingness to learn
- Commitment to your own development
- GCSE English & Maths at grade C/grade 5 or above, or equivalent
- Advanced experience of Outlook, Word and Excel packages – Data Management is key to this role

Location: Main Street, Sutton-in-Craven, Keighley BD20 7JS
With 21 beds across four Community Houses and situated in the semi-rural areas of Steeton, Sutton-In-Craven and Cowling, our care homes are ideally located for safe, structured and gradual reintegration into the Community.
