Key Responsibilities
This role provides comprehensive, proactive and high‑quality organisational and administrative support to the Global R&I Director and the NPD & Supply Chain Innovation Director, ensuring smooth operation across Global R&I, NPD and Supply Chain Innovation teams.
Executive Support
- Effective and proactive diary management for both Directors, navigating complex, multi‑time‑zone schedules.
- Long‑term calendar planning around strategic priorities and business‑critical meetings.
- Gatekeeper and liaison: handle emails, draft responses, filter enquiries, ensure timely replies and resolve diary clashes.
- Coordinate domestic and international travel itineraries.
- Act as key coordination point between UK‑based and Polish stakeholders.
- Prepare, edit and collate professional presentations, correspondence and briefing materials.
- Manage electronic filing for Directors, ensuring confidential information is handled with discretion.
Team Support
- Arrange and support meetings with thorough agendas, attendance and logistics.
- Attend leadership team meetings to provide organisational and administrative support.
- Support teams on strategy, KPIs and progress tracking.
Project & Event Management
- Collaborate with the PA to the Chief Brand Officer for whole‑team events.
- Lead planning and execution of R&I and NPD team events and away days.
- Build and maintain networks with internal teams, agencies, suppliers and partners.
Financial & Administrative Management
- Oversee budget management and cost‑centre oversight.
- Manage expenses for both Directors and relevant team activities.
Culture & Ways of Working
- Coordinate with the wider admin team to build engagement and effective ways of working.
- Suggest ideas to strengthen communication and morale.
- Act as a trusted representative of both Directors with stakeholders and direct reports.
KPI & Budget Coordination
- Collect, maintain and consolidate KPIs and budget information across R&I, NPD and Supply Chain Innovation.
- Work with managers to keep KPI and budget data current and on schedule.
- Track spend against budgets, highlighting variances and incomplete information.
- Follow up with managers on missing or unclear updates; elevate issues to Directors as required.
- Support preparation of KPI reporting for leadership forums.

Skills, Knowledge & Expertise
- Experience as a PA/EA within a commercial, high‑performing organisation.
- Proven support of senior leaders across different countries and time zones within a global or matrix organisation.
- Excellent communication skills at all organisational levels; adaptable style.
- Strong organisational, planning and record‑keeping skills.
- Computer literacy in Microsoft Office and experience using AI to drive efficiency.
- Multitasking: manage multiple priorities simultaneously.
- Confident, resilient, pragmatic, assertive and able to hold others accountable.
- Flexible, enthusiastic, can work independently and collaboratively.
- Discreet, confidential, detail‑oriented, proactive.
- Creative flair advantageous.
- Highly skilled in maximising executive effectiveness.
- Experience creating engaging presentations.
- Experience organising conferences, events, away days.
- Experience working with an international client group.
- Experience supporting broader team alongside a 1:1 PA relationship.
- Experience in decentralised/matrix structures advantageous.
- Experience with SAP advantageous.
