Patent Support Professional – London
Our client is a highly regarded intellectual property practice with an established reputation for delivering exceptional service to an impressive international client base. Due to continued growth, it is looking to recruit a Patent Secretary/Patent Administrator to join its Professional Support team in London. This is an excellent opportunity for someone with patent administration, patent secretarial or formalities experience who is looking to broaden their skill set into a varied support role incorporating administrative, secretarial and basic patent paralegal duties. The firm is also keen to hear from experienced Legal Secretaries with around two years' experience who are looking to build a career within the intellectual property sector.
Key Responsibilities:
Please read the information in this job post thoroughly to understand exactly what is expected of potential candidates.- Providing high quality administrative support to Patent Attorneys and Paralegals within the Engineering team
- Managing busy diaries and coordinating meetings
- Monitoring shared inboxes and ensuring actions are completed within required deadlines
- Liaising with clients and preparing draft correspondence for review
- Assisting with the preparation of cost estimates and standard reports
- Generating client letters and emails for attorney approval
- Tracking and managing critical deadlines
- Preparing status reports and portfolio updates
- Reviewing, raising and processing client invoices
- Entering billable time and maintaining electronic records accurately
- Supporting the wider Professional Support team with general administrative duties
Requirements:
- Ideally 1 to 2 years' experience within patent secretarial, patent formalities or patent administration
- Applications are also welcomed from Legal Secretaries with at least two years' experience who are looking to move into the IP sector
- Excellent organisational skills with the ability to prioritise a varied workload
- Strong written and verbal communication skills and confidence dealing directly with clients
- A proactive and team-focused approach with the ability to work independently when required xwzovoh
- High levels of accuracy and attention to detail, particularly when working to deadlines
- Experience using electronic records or billing systems would be advantageous, although not essential
