Dealership Receptionist
Preston
The Dealership Receptionist is the first point of contact for customers visiting or calling the dealership. This role is responsible for delivering an exceptional customer experience by providing a warm welcome, managing enquiries efficiently, and coordinating appointments for vehicle sales, servicing, and warranty repairs. The Receptionist supports both the Sales and Service teams to ensure smooth daily operations and high customer satisfaction.
Key Responsibilities
Front Desk & Customer Service
Greet all customers and visitors promptly and professionally upon arrival.
Provide friendly, helpful assistance and direct customers to the appropriate department (Sales, Service, Parts, Finance, etc.).
Handle incoming calls, emails, and online enquiries, ensuring messages are relayed accurately and in a timely manner.
Maintain a tidy, welcoming reception area and ensure dealership standards are upheld.
Booking & Scheduling
Manage and book vehicle viewings, test drives, and sales appointments for the Sales team.
Schedule vehicles in for service, MOTs, diagnostics, and warranty repair appointments, ensuring accurate recording of customer concerns.
Confirm bookings, send reminders, and communicate any changes or updates to customers.
Coordinate diaries for Service Advisors, Technicians, and Sales Executives as needed.
Customer Check-In & Check-Out
Assist customers dropping vehicles off for service or repair, completing check‑in documentation and obtaining necessary signatures.
Provide customers with estimated completion times and keep them updated throughout the day when required.
Process customer handovers when vehicles are collected, ensuring paperwork is completed and queries are resolved.
Administrative Support
Maintain accurate customer records and update CRM and dealer management systems.
Assist with filing, scanning, and processing service/job cards.
Support the Sales and Service teams with general administrative tasks, including preparing welcome packs or service invoices.
Communication & Coordination
Liaise with Service Advisors, Technicians, and Sales Executives to ensure customer requests and appointments are handled smoothly.
Notify customers of any delays, additional work identified, or required authorisations.
Promote dealership services, campaigns, and offers where appropriate.
