£35k circa DOE About the Role We are seeking an organised and proactive Senior Property Claims & Project Scheduling Coordinator to join our growing team in South Wales. This is a pivotal role responsible for coordinating domestic refurbishment and insurance reinstatement projects from instruction through to completion. You will play a central role in ensuring project programmes are effectively managed, resources are scheduled efficiently, and all stakeholders receive timely updates throughout the project lifecycle. Working closely with project managers, surveyors, subcontractors, suppliers, insurers, loss adjusters and homeowners, you will help ensure projects are delivered on time, within scope and to the highest standards of customer service. Key Responsibilities Project Scheduling & Coordination Prepare, maintain and regularly update project programmes and construction schedules. Schedule directly employed operatives, subcontractors, surveys, deliveries and site appointments. Coordinate activities across multiple live domestic refurbishment and insurance reinstatement projects. Monitor progress against programme dates and identify risks, delays and outstanding decisions. Obtain regular progress updates from project managers, supervisors and site teams. Coordinate project completions, snagging inspections, remedial works and final handovers. Stakeholder Management Act as a key point of contact for project managers, surveyors, subcontractors, suppliers and clients. Communicate professionally with insurers, loss adjusters, Contract Administrators and surveyors. Provide stakeholders with accurate programme updates, progress reports and estimated completion dates. Respond promptly to requests for project information, photographs, progress records and supporting documentation. Communicate sensitively and professionally with homeowners and policyholders throughout the claims process. Claims & Commercial Administration Monitor outstanding insurer instructions, approvals and payment authorisations. Ensure variations, additional works and changes to approved scopes are formally recorded and authorised. Maintain clear project audit trails and accurate project documentation. Escalate delays relating to approvals, information, quotations or stakeholder decisions where necessary. Finishes, Selections & Procurement Maintain detailed finishes schedules for each project, recording specifications, colours, suppliers, costs and lead times. Prepare and update room data sheets detailing finishes, fixtures, fittings and installation requirements. Obtain and record client and policyholder selections, maintaining written confirmation and audit records. Identify whether selections are covered within approved allowances, PC Sums or Provisional Sums. Refer upgrades, enhancements and private works for commercial approval before orders are placed. Coordinate material procurement and deliveries in line with project programmes. Monitor long-lead items and proactively manage potential supply chain delays. Essential Skills & Experience Previous experience in project coordination, project administration, scheduling or construction support. Strong organisational and time-management skills. Excellent verbal and written communication skills. Ability to manage multiple priorities and deadlines simultaneously. Strong attention to detail and administrative accuracy. Proficiency with Microsoft Outlook, Excel and Teams. Desirable Experience Experience within residential construction, refurbishment, property maintenance or insurance reinstatement. Experience working with insurers, loss adjusters, Contract Administrators and surveyors. Understanding of project variations, approved scopes of works and project audit trails. Experience preparing finishes schedules, procurement schedules or room data sheets. Knowledge of PC Sums, Provisional Sums and customer selections processes. Experience using project management or scheduling software.
