HR & Charitable Trust Coordinator

Role Purpose

This role provides reliable, high-quality administrative support across HR services and the Charitable Trust, helping to create a positive and seamless experience for colleagues, Trustees and other stakeholders. Working with care, accuracy and attention to detail, the role ensures HR processes, Trust activities and governance requirements are delivered efficiently, records are maintained accurately, and queries are handled in a professional and supportive manner.

The role contributes to effective service delivery across HR and provides key administrative and governance support to the Charitable Trust Supervisory Board, ensuring applications, meetings, reporting and compliance activities are managed effectively.

Main Responsibilities

Charitable Trust Administration & Governance

  • Manage the end-to-end administration of Charitable Trust applications, including application processing, preparation of Board submissions, approvals, signatory coordination and payment notifications.
  • Coordinate Supervisory Board meetings and conference calls, including scheduling, preparation and circulation of papers, maintenance of registers and production of accurate meeting minutes.
  • Administer the annual Christmas Gift Programme, including issuing offer letters, monitoring responses, liaising with third-party administrators and preparing Board reporting.
  • Support ongoing governance, monitoring and compliance activities, including gift checks, Certificate of Existence reviews, death-listing checks, tax and investment reporting requirements, and document retention.
  • Provide audit support by collating and supplying annual PSCT audit papers to PwC and ensuring records are well organised and accessible.
  • Maintain Trust records and documentation to ensure information is accurate, accessible and audit ready.
  • Work collaboratively with HR colleagues, Trustees and external stakeholders to ensure consistent service delivery and a positive colleague and beneficiary experience.

HR Service Activity

With primary accountability for the administration and governance of the Charitable Trust, provide flexible support across HR activities, including onboarding, employee lifecycle changes and employment documentation, in line with service requirements where required.

Key Knowledge, Skills and Experience

Excellent written and verbal communication skills, with the ability to interact confidently with colleagues, Trustees and external stakeholders.

Ability to manage multiple priorities, organise workloads effectively and meet deadlines.

Strong organisational skills with the ability to coordinate meetings, documentation and governance activities.

Strong attention to detail and commitment to accuracy when managing data, documents and records.

Experience of providing high-quality administrative support within an HR, governance or regulated environment.

Ability to handle confidential and sensitive information with discretion and professionalism.

Experience of working with HR systems and maintaining data integrity.

Essential Skills

  • Minute-taking, meeting coordination and document management skills.
  • Proficiency in Microsoft Office applications and HR administration systems.
  • Strong organisational and administrative skills.
  • Effective problem-solving and judgement within defined procedures, with confidence to escalat
