Scope of Role As an HR Support Administrator at HR180, you will support and assist the HR Partner team in delivering the entire employee lifecycle to all HR180 clients. Our Clients never have enough hands to do the jobs that need to get done, so you will have significant responsibility from day one in delivering interview scripts, monitoring probations, preparing for investigations, organising occupational health referrals, writing capability hearing invite letters and doing exit interviews (alongside much, much more)! You will need the confidence, attention to detail and ability to work in a VERY fast paced and challenging environment. By and large, you will be able to manage your own workload without assistance and you will be proactive and commercial in your approach to all activities. The postholder must be comfortable in that no two days are the same and there are multiple issues all needing to be dealt with at once. Demands of the job For Clients: Answer all incoming enquiries, provide assistance and advice where possible and take messages Support each client and the relevant HR Partner with: ​​​​​​ Leavers and Joiners - Raising a Contract of Employment, offer letter and new starter pack. Monitoring probations, reference requests and delivering final leaving letters and exit interviews. Conducting Right to Work in the UK checks and DBS checks. Disciplinary Process - Hearing invite letters, organising a hearing time and date, raising an initial outcome letter, typing meeting minutes, short term dismissal briefing notes. Filing all evidence and correspondence etc Capability Process - Capability hearing invites, organising a hearing time and date, meeting minutes, raising an initial outcome letter. Grievance Process - Acknowledgement of grievance, hearing minutes, witness meeting invite letters, organising a hearing time and date, sending and filing the hearing recording. Filing all evidence and correspondence etc. Maternity/Paternity/Adoption & Flexible Working - Acknowledgement letters, risk assessment organising, MatB1 filing, Keeping in Touch correspondence. Absence Monitoring - Occupational health booking, reporting, return to work interviews, risk assessments Induction Support - First day HR welcome, probationary pass out letters and manager liaison. Internal company literature including (but not limited to): Company Handbooks, Manager Guides, Contracts of Employment and ensuring they are always in line with current legislation. Redundancy or Restructure - Planning with the HRP, all first draft letters, agendas, calculations, outcomes and presentations for HRP review. Software Implementation - General system maintenance, document and data input, general maintenance General Admin - Salary increases, Furlough letters, difficult conversation briefing notes Payroll - Preparing data and reports for submission. Prepare employee engagement surveys and assist in the collation and presentation of the results. Update client handbooks annually with legislation and policy changes. Respond to client’s e-mail queries in a timely and professional manner. For the HR180 team: Support all client onboarding preparation and delivery Support the delivery of HR180 training courses including sending out joining instructions, collating attendance information, book equipment, collate or design slides and workbooks and collation/printing of relevant materials Liaise directly with the office co-ordinator in relation to any stationary and office supplies Ensure accurate organisation of all cases and personnel files Be proactive and offer support, where possible to other members of the team Ensure all recordings are sent to individuals and filed appropriately Research answers to client queries on behalf of the HR Partner, for example, paternity/adoption rights, daily travel allowances, salary survey information Participate in team meetings and share your knowledge and ideas on improvements that can be made within the team and to processes or procedures Assist with ad hoc projects and research Internal Systems The postholder will be required to learn and use: The entire Microsoft Office suite including Word, Excel, PowerPoint, Sharepoint and Teams Clockify (to record all time worked during the day, with 80% being “billable”) Monday.com (task management system) Various HRIS (Cascade, PeopleHR, BreatheHR, BrightHR, Staff Squared etc) BrightPay for Payroll Forget academics. The postholder will want to learn and will want to be non-stop, crazy busy, ALL the time. Experience Our experience has taught us that NOTHING can prepare or train you for this job. Ideally, previous generalist administration experience (or similar) in a fast-paced environment.
