Reception & Facilities Coordinator - Exciting Office-Based Opportunity! 🌟

We are looking for a proactive and confident Reception & Facilities Coordinator to take ownership of front-of-house and facilities operations within a dynamic, fast-paced office. This is a hands-on and varied role where no two days are the same, offering the opportunity to make a real impact across the business.
🔹 What you'll be doing:
Front of House & Reception
Managing all incoming calls, emails, and visitor communications professionally
Welcoming guests and ensuring a positive first impression
Coordinating meeting rooms, catering, travel arrangements, and couriers
Maintaining a clean, organised, and professional reception and office environment
Managing office supplies and mail services efficiently
Supporting continuous improvement of front-of-house servicesFacilities Coordination
Ensuring the office environment is safe, functional, and well maintained
Working closely with maintenance teams and external suppliers
Coordinating repairs, cleaning, and building services
Supporting workstation and office space management
Ensuring health & safety standards are consistently metEvents & Engagement
Supporting and coordinating internal events, celebrations, and company initiatives
Assisting with wellbeing, CSR, and employee engagement activities
Helping deliver smooth logistics for meetings, training, and business eventsAdministrative Support
Providing general admin support across office functions
Assisting with onboarding, visitor arrangements, and documentation
Supporting expense processing and day-to-day operational tasksHealth & Safety
Acting as a First Aider and Fire Warden (training provided if needed)
Supporting workplace safety and compliance processes
Assisting with emergency preparedness and wellbeing initiatives
🔹 What we're looking for:
Experience in reception, facilities, or office administration within a busy environment
Strong communication skills with a professional and friendly manner
Excellent organisational and multitasking abilities
A proactive, hands-on approach with strong attention to detail
Confident using Microsoft Office (Outlook, Teams, Word, Excel)
Ability to handle confidential information with discretion
A team player who takes ownership and shows initiative
