About the role
Owen Reed is looking for two Facilities Assistants for a top law firm in Bristol. These are excellent opportunities for proactive and organised Facilities Assistants to join a professional team, ensuring the smooth day-to-day running of office facilities while delivering outstanding internal client service.
Working Arrangement: This is an office-based position in Bristol. The Facilities Assistants will also be required to travel regularly to other offices to provide cover and operational support.
The Opportunity
As a Facilities Assistant, you will play an important role in delivering high-quality facilities support across the office. The Facilities Assistant will work closely with the Facilities Supervisor to ensure all workplace services operate efficiently, supporting colleagues with mail services, office maintenance, health and safety, reprographics, office moves, and general facilities management.

Key Responsibilities
- Provide daily cover for mail room operations, ensuring the efficient handling of incoming and outgoing post.
- Support colleagues with stationery requests and other day-to-day facilities requirements.
- Deliver reprographics services for departments across the business.
- Order stationery, lighting supplies, cash and carry consumables, and other office essentials.
- Investigate reported maintenance issues and arrange repairs with external contractors where required.
- Monitor office cleaning standards and liaise with service providers to resolve any issues.
- Assist the Facilities Supervisor with procuring consumables, non-consumable items, and general facilities services across all offices.
- Act as a representative when sourcing and agreeing new supplier contracts.
- Assist in planning and delivering office moves within agreed timescales.
- Manage storerooms, oversee waste and recycling processes, and maintain kitchen standards.
- Complete health and safety inductions for new starters while maintaining accurate records, supported by the Health & Safety Co-ordinator.
- Travel to other offices to provide facilities cover when required.
- Carry out basic reactive and preventative maintenance tasks and minor repairs.
- Assist with the storage, maintenance, and archiving of deeds, wills, probate files, and other documents using a computerised database.
About You
The successful Facilities Assistant will be organised, reliable, and customer-focused, with the ability to manage a varied workload and respond effectively to changing priorities.
You will ideally have:
- A minimum of 5 GCSEs (Grade A–C or equivalent), including English and Maths.
- Good working knowledge of Microsoft Word and Excel.
- Previous experience in a customer service or office-based environment.
- Previous experience within a legal environment would be advantageous.
- Excellent organisational and prioritisation skills.
- Strong communication and interpersonal abilities.
- A proactive and flexible approach to work.
- A commitment to delivering exceptional internal client service.
