As our Gas Works Coordinator, youll play a key role in ensuring our gas servicing, breakdown repairs and boiler installation programmes run safely, efficiently and in full compliance with regulatory requirements. Youll manage scheduling, monitor contractor performance, support our field technicians and ensure customers receive a responsive, high-quality service.
This is a fast-paced, customer-focused role where your organisation, communication and problem-solving skills will make a real impact on the safety and satisfaction of our residents.
About the Role/team
Youll report to the Senior Compliance Works Coordinator and work closely with a wide range of colleagues including Field Technicians, Customer Services, Repairs Managers, Regional Housing Teams, Voids, Mutual Exchange, and our Performance Analysts. Youll also liaise with subcontractors, suppliers and partner organisations to keep our gas compliance programmes running smoothly.
Youll be at the centre of our gas operations, allocating work, managing emergency jobs, maintaining accurate compliance records, auditing documentation, and ensuring all works are completed within required timeframes. Youll also support the wider Gas Technical Team, contributing to continuous improvement and helping us deliver a safe, reliable and customer-focused service.
Key Responsibilities
Provide effective administration for gas servicing, breakdown repairs and boiler installation programmes

Allocate work to Technicians and subcontractors, ensuring efficient scheduling and productivity

Manage emergency works within priority timescales

Make courtesy calls to customers and manage expectations around outstanding works

Order parts and materials, ensuring works are rebooked within agreed timeframes

Complete desktop audits of LGSRs and escalate issues where required

Maintain accurate and timely compliance records and data entry

Administer planned and reactive gas installation programmes

Support weekly gas reconciliation reporting

Monitor subcontractor performance against KPIs

Process purchase orders and invoices within agreed timeframes

Audit and challenge contractor anomalies relating to quotes and invoicing

Manage gas servicing compliance reports up to the legal process

Prepare analysis for subcontractor and supplier meetings

Respond positively to complaints, issues and enquiries, supporting learning and improvement

Provide cross-team support to Customer Services, Field Technicians and subcontractors

Optimise communication across telephony, Teams, email and field devices

Support the team leader with project-related work

Adhere to Data Protection, Health & Safety and safe working practices

Demonstrate SettleParadigm values and contribute to team objectives

Take responsibility for personal development and learning

What Were Looking For
Must haves:
Experience in a service delivery centre or property maintenance environment

Experience in scheduling and programme works management

Experience producing reports and analysing data

Strong communication skills and ability to work effectively across teams

Methodical approach with strong problem-solving skills

Ability to work in a fast-moving environment and stay calm under pressure

Strong IT skills, including Microsoft Office, Outlook and service logging systems

A customer-focused approach with a commitment to excellent service

Nice to haves:
Understanding of Gas Legal procedures and processes

Experience handling maintenance calls or supporting field technicians

Experience in customer services administration

Supportive approach to internal and external colleagues

For added brilliance:
Strong understanding of social housing

Ability to build strong relationships with technicians, contractors and customers

Direct experience scheduling gas works.

Working Hours
Hours: 37 hours per week, Monday Friday

Hybrid working: 2 days per week in the office, 3 days from home

Some travel across our operating area may be required
